Our terms and conditions are based on industry standards and best practices in order to be fair to Equipped Outdoors adventurers and to our Equipped Outdoors Guides.

We are a small business and it takes a lot to coordinate. Capacities are strictly limited (most of the time by land management regulations) but also by our Guide to adventurer ratio ensuring that each adventurer has the best time. This means that every spot is irreplaceable. Please take a quick look at the below policy as the closer the cancellation to the trip start date, the smaller the eligible refund becomes. This is because the closer to the departure date, the more difficult it is to fill that spot. Within 30 days of the start of a trip, no refund or trip credit will be offered because at that point in time, it is very unlikely the reservation will be replaced.

We appreciate your understanding of what it is like managing a small business outdoor adventure guide service operating on public lands and national forests. We are more than happy to answer any questions you may have about our terms. Finally, we cannot wait to help you experience the beauty and majesty of the backcountry regardless of whichever destination you choose - we are confident you’ll have an unforgettable and amazing experience!

IMPORTANT NOTICE: We strongly encourage all adventures to understand the terms below. We will not stray from these agreements under any circumstances, so please consider purchasing trip insurance to protect your travel investment. We hope to offer that sometime soon.

Payment Types and Schedule

  • Credit Card: (Includes 4.95% transaction fee)

    • Payments

      • 1st Payment = Deposit (payable at time of registration via Credit Card, ACH or Cash/Check)

      • Subsequent Payments = paid every 30 days leading up to departure date (Final invoice payable 30 days prior to departure date.

  • Cash: 2% Cash discount

    • 2 Payments

      • 1st Payment = $500 deposit (payable at time of registration via check or Venmo)

      • Final Payment = Remaining balance (payable 30 days prior to departure date via check or Venmo)

  • Final Invoice will come after trip completion

    • Examples of Additional costs incurred: Fuel Share, additional gear rental, gratuity, lost/broken gear replacement costs…

TRIP ITINERARY CHANGES AND ALTERNATIVE TRIPS

All Equipped Outdoors Trips are subject to itinerary changes based on a variety of circumstances beyond our control, including, but not limited to permit or campsite availability, snowpack, river crossings, wildlife, park or land closures, forest fires and guide illness. An adventurer’s cost of a Trip will never change due to itinerary changes. Payments previously made by Adventurers to Equipped Outdoors are not refundable for itinerary changes or park or land closures.

IF A TRIP OR RESERVATION IS CANCELLED DUE TO CIRCUMSTANCES BEYOND EQUIPPED OUTDOORS’ CONTROL, including but not limited to public land closures, civil unrest, public health emergencies, or natural disasters, and no alternate itinerary is available, A TRIP CREDIT WILL BE ISSUED EQUAL TO THE FULL AMOUNT PAID BY ADVENTURER MINUS ANY NONREFUNDABLE EXPENSES INCURRED BY EQUIPPED OUTDOORS TO BE USED WITHIN 12 MONTHS OF ISSUE DATE. REFUNDS ARE NOT OFFERED IN THESE SITUATIONS.

CANCELLATION AND REFUND POLICY

The Following Policy is Applicable to All Trips:

EQUIPPED OUTDOORS reserves the right to cancel any Trip for the following reasons, including but not limited to failure to meet the adventurer minimum on a specific Trip, loss of scheduled staff for a specific Trip due to injury or illness, and unforeseeable significant damage to or loss of EQUIPPED OUTDOORS equipment or inventory necessary for a Trip. If EQUIPPED OUTDOORS cancels a Trip due to such reasons, a refund of the total amount paid by each Adventurer, including the deposit, will be provided.

EQUIPPED OUTDOORS is not responsible for additional expenses incurred by Adventurer related to preparing for, travelling to and from, or participating on the Trip including non-refundable advance purchase air tickets, clothing, equipment, visa fees, medical expenses, etc. EQUIPPED OUTDOORS strongly recommends that Adventurer purchase Trip Insurance with appropriate coverage for such potential losses related to a EQUIPPED OUTDOORS Trip cancellation.

Force Majeure: In the event EQUIPPED OUTDOORS is unable to perform its obligations under the terms of this Agreement and Trip or reservation is cancelled because of acts of God, extraordinary or destructive environmental conditions, weather events, or natural disasters; strikes; equipment  or transmission failure or damage reasonably beyond its control; pandemic or outbreaks of sickness or disease or other public health emergencies; terrorism, war, sabotage or vandalism; accident, civil disorder or riots within the EQUIPPED OUTDOORS’ operating areas; public land closures, or other causes reasonably beyond its control, AND NO ALTERNATE ITINERARY IS AVAILABLE, A FULL TRIP CREDIT WILL BE ISSUED EQUAL TO THE FULL AMOUNT PAID BY THE PARTICIPANT MINUS ANY NONREFUNDABLE EXPENSES INCURRED BY EQUIPPED OUTDOORS TO BE USED WITHIN 12 MONTHS OF THE ISSUE DATE. REFUNDS ARE NOT OFFERED IN THESE SITUATIONS.

The Following is Applicable to Participant Cancellation of a Multi-Day Trip:

  • If a Adventurer (or Group) cancels or leaves a Trip for any reason 10 days from reservation date days prior to the Departure date, a full refund minus $100 per person will be issued.

  • If a Adventurer (or Adventure Group) cancels or leaves a Trip for any reason 60+ days prior to the Departure date of the Trip as identified in the published Trip itinerary, a 50% refund minus $100 per person will be issued.

  • If a Adventurer (or Adventure Group) cancels or leaves a Trip for any reason 59 - 30 days prior to the Departure date of the Trip as identified in the published Trip itinerary, a 25% refund minus $100 per person will be issued.

  • If a Adventurer (or Adventure Group) cancels or leaves a Trip for any reason less than 30 days prior to the first date of the Trip as identified in the published Trip itinerary or once the Trip has begun, there will be no refund or Trip credit issued.

EQUIPPED OUTDOORS strongly recommends that Adventurers purchase travel insurance with appropriate coverage for such potential loss or losses.

*Destination and Trip-Specific Refund/Cancellation Policy Exceptions:

*The 10-day grace period applies solely to reservations made more than 60 days prior to the trip start date.

TRANSFER POLICY

If a Adventurer transfers from one Trip to another, there may be transfer fees assessed to Adventurer resulting from any permit or lodging deposits made on your behalf.

Except when an expressed exception to this policy applies, EQUIPPED OUTDOORS’ transfer policy is as follows:

  • An Adventurer may request and receive only one (1) transfer from one Trip to another pursuant to the terms of this policy. A second transfer request by a adventurer will be treated as a cancellation, and EQUIPPED OUTDOORS’ cancellation policy will apply.

  • If Adventurer notifies EQUIPPED OUTDOORS more than 60 days prior to the published Trip start date of a desire to transfer to a different Trip, Adventurer may transfer from one Trip to another with no associated fees.

  • If Adventurer notifies EQUIPPED OUTDOORS between 59 and 30 days prior to the published Trip start date of a desire to transfer to a different Trip, there will be a $100 per person transfer fee PLUS the cost of any non-refundable lodging, campground, or permitting fees already incurred by EQUIPPED OUTDOORS.

  • If Adventurer notifies EQUIPPED OUTDOORS less than 30 days prior to the published Trip start date of a desire to transfer to a different Trip, the transfer request will be considered as a cancellation of the original Trip and no refund or Trip credit will be issued for the original Trip pursuant EQUIPPED OUTDOORS’ cancellation policy.

EQUIPPED OUTDOORS strongly recommends that Participants purchase Trip Insurance with appropriate coverage for such potential loss or losses.
